A Sunday Arrival and a Wednesday Close

What Sunday Puts on the Schedule
Registration opens at 2:00 p.m. Sunday at the Convention Center registration desk for badge pickup and closes at 6:00 p.m. The opening reception runs 5:00 p.m. to 6:30 p.m. in White River A-E at the JW Marriott. A group that lands on the first afternoon walks into a published evening function. Put the coaches at the hotel before 2:00 p.m., or hold the arrival until the reception opens.
The Free Evening Is Monday
Monday 5 October carries breakfast at 7:00 a.m. in Wabash 2-3, short courses from 8:00 a.m. to 11:00 a.m., a keynote and luncheon from 11:00 a.m. to 1:00 p.m. in the White River Ballroom, and technical papers across three blocks through to 4:45 p.m. The agenda publishes nothing after 4:45 p.m. Monday. Book the one group dinner into that evening.
Keep Tuesday evening clear. The exhibit hall opens at 11:00 a.m., a reception runs 4:45 p.m. to 6:30 p.m. in Exhibit Hall A-B, and a function runs 6:00 p.m. to 8:00 p.m. at the Indiana Roof Ballroom, 140 W Washington St.
Airport to the Convention District
The venue publishes 15 minutes to Indianapolis International Airport on its event pages. The Convention Center sits in a six-block area of downtown, bordered by the State Capitol, Pan American Plaza, Union Station and the Circle Centre complex. The facility guide records 4,721 hotel rooms connected to the Center, 7,175 rooms within a six-block radius and 4,570 committable group rooms downtown. The same guide records pedestrian skywalks connecting 4,717 of the downtown total of 7,200 hotel rooms to the complex, a direct skywalk link to five luxury downtown hotels, and connections to seven more through the Circle Centre shopping and entertainment complex. Its nearby-amenities page counts more than 200 downtown restaurants. The venue event page footer publishes 7,100 downtown rooms and 4,700 skywalk-connected rooms.
The evening programme sits inside that radius. The opening reception, the keynote and luncheon, and the membership meeting all run at the JW Marriott. The Tuesday function runs at the Indiana Roof Ballroom.
The venue publishes no shuttle service for this conference. Group movement runs on the skywalks and the six-block radius, and coaches are a direct contract.
Group Rooms and Registration
Three blocks were published. The official JW Marriott block at 10 S West Street has closed. The Embassy Suites by Hilton Indianapolis Downtown courtesy block at 110 W Washington Street has closed. The Fairfield Inn & Suites courtesy block at 501 West Washington Street holds rooms from $179 plus tax per night, bookable before 25 September 2026. The organiser asks exhibitors and sponsors to book inside the official block for the length of the event, to release unused rooms at least 30 days before the conference start, and to hold each reservation with a valid credit card. Cancellation without penalty runs to 48 hours before arrival.
Registration runs $950 for members, $1,150 for non-members, $450 for guests and $475 for students. On-site registration from 4 October adds $200.

The keynote runs inside the 11:00 a.m. to 1:00 p.m. luncheon window in the White River Ballroom at the JW Marriott.
